What does the Rotary YEP insurance program cover?

This Insurance program covers healthcare costs, urgent dental care, permanent invalidity, civil liability in private life, loss of luggage, etc. It also covers for exceptional expenses in case of an accident and/or illness such as repatriation and medical transport. The limit of the medical expenses indemnity abroad is the equivalent in Euro of 1,000,000 USD and there is a deductible fee of 25€ on medical costs (sickness). Regular medical treatment and check-ups related to pre-existing illnesses are excluded. For a complete list, please review the Rotary YEP general conditions. Who can be covered by this insurance program?

This YEP Insurance program offers a cover only for the following category of persons:

The student not more than 20 years old at the time the contract takes effect, (START BEGINS UPON ARRIVAL (COVERAGE STARTS UPON ARRIVAL IN THE HOST COUNTRY) who:

  • is of the nationality of a state member of the European Union, has his/her usual place of residence in a state member of the European Union and is making his/her way abroad, except for the USA/Canada;;
  • is of foreign nationality, has his/her usual place of residence in a state member of the European Union and is making his/her way abroad to the USA/Canada;;
  • is of foreign nationality, has his/her usual place of residence abroad out of the European Union and is making his/her way to a state member of the European Union ;

in order to follow a complete educational program or complete training at post-secondary level, which represents his/her principal activity, and is named in the list of insured persons received from the policyholder - the European Rotary District - via the intermediary.

In the limits of the General and Special Conditions, the purpose of this contract is to provide cover at the foreseen benefits for the insureds during their participation to an exchange program of the Policyholder - the European Rotary District -

For how long can I be insured?

The YEP Insurance program covers trips that last up to 12 months maximum.

How does the YEP Insurance program work?

The YEP Insurance program will reimburse your medical expenses with a maximum amount as mentioned above and with a small deductible fee of 25€ on medical costs( sickness). If you have a basic mutual healthcare cover, please verify if your country of origin has reciprocal healthcare agreements with your country of destination to ensure that your cover effectively offers reimbursement in your country of destination. If not, you will have to produce an official document confirming the non- reciprocal healthcare agreements in order to be fully reimbursed for the medical costs incurred. If you have a basic mutual healthcare cover, the YEP Insurance program will reimburse the the medical costs that are not covered by your healthcare institution. When a maximum insured amount is listed in the summary of coverage for the other insurances in the package, it corresponds to the total maximum amount up to which the costs can be reimbursed.

When and how does the European Rotary District applies for this Insurance program?

The European Yep Rotary Distirct signs an insurance agreement with Chubb via the Intermediary DAP Brussels.
The European YEP Rotary District informs every student INBOUND or OUTBOUND that the Insurance cover is included in the global costs of their Exchange Budget.
The European YEP Rotary District provides the intermediary/insurer with the list of Students covered under this Insurance program.
After payment of the premium, The European YEP Rotary District gets a personalised Insurance certificate for each student.

What is this Insurance Certificate? How does it work?

The Insurance certificate is a document stating the name of the insured person, the product code  000 50 42 381 and the certificate number of the insured YEP student, the phone number of CHUBB Assistance that needs to be used in case of emergency (+32 2 5169815) and the website address where to find detailed information about the YEP Insurance program (www. yep-insurance-rotary.com). Since this Insurance certificate is an important document we advise the student to keep it with his/her other personal securities.

Can the student present his/her Insurance Certificate on registration/admission for direct payment arrangement of my hospital/ medical costs?

NO, this certificate cannot be used to arrange direct payment of hospital and/or medical costs. The YEP student  has to pay the costs of medical treatment directly and then submit a completed claim form to the Insurer - CHUBB - for the reimbursement of the costs incurred. Claims forms and procedures can be found within the "claim"section of this website. On the other hand, in case of admission to a hospital (overnight or surgery in one day clinic), you may contact CHUBB Assistance beforehand, on at the phone number that is mentioned on your Insurance certificate (+32 2 516 9815), mention the Product code 000 50 42 381 first and ask the Insurer CHUBB to arrange direct payment of your medical expenses with the medical institution. Direct payment arrangement can only be considered if the Insurer has given its prior approval for it. In all other cases, you simply have to visit our website (www.yep-insurance-rotary.com). Within the “Claim” section, you can download the claims forms and the procedure to follow for the reimbursement of your expenses.

How can the student be reimbursed for his/her treatment/ medical costs?

He/she simply has to visit 1) the "claim" section of the website and 2) download and 3) let the medical claims form be filled in by a doctor, 4) fill in the General claims form and 5) follow closely the procedure in order to obtain the reimbursement of his/her costs.

Regarding the “transportation of a family member in case of Hospitalization ” mentioned in the General overview of the indemnities, how will you reimburse the plane ticket costs of his/her mother to come to the host country?

This guarantee is related to "assistance to persons". “Transportation and accommodation costs of family members” is applied in case of serious illness or mortal danger of the insured student. In this case, contact CHUBB Assistance and they will organize the transportation and accommodation of max 1 family members going abroad to visit the student in the hospital where he/she is treated.

If the student is suffering from a chronic disease and he/she will pursue his/her medical treatment during the stay abroad, will the treatment costs be reimbursed?

NO. Regular medical treatment and check-ups related to pre-existing illnesses are excluded. The purpose of the YEP Insurance program is to cover accidents/ illnesses occurring for the first time during the period of insurance in accordance with the CHUBB general conditions.

If the student went to the doctor for a check-up just to make sure everything is alright and got vaccinated against influenza, will he/she be reimbursed by the insurance for these medical expenses?

No, because the insurance will intervene in cases of illness / accident occurring during the period of coverage. In this case, it is neither an accident nor an illness. Therefore, these medical costs will not be reimbursed under this insurance policy.

If the student  had an accident and went to the hospital to be treated, what is the procedure for the reimbursement of the costs incurred?

You simply have to visit 1)  the "claim" section of the website and 2) download the claim forms, 3) let the medical claims form be filled in by a doctor and 4) fill in the general claims form ; 5) follow closely the instructions mentioned in the procedures.

If the student's grandfather passed away during his/her YEP sejourn in Brazil and would like to return home for a few days and attend the funeral. What can he/she do?

Please call CHUBB Assistance at the phone number mentioned on youy Insurance certificate (+32 2 516 9815), mention  the Product code 000 50 42 381 first and explain the situation. You will have to provide your policy number BEBST........ and your name. CHUBB’s agent will detail the procedure to be followed as well as the documents to be provided (i.e. death certificate, general claim form, etc.). CHUBB will take care of everything (tickets reservation, etc.). Never buy travel tickets yourself in case of an early return. You may run the risk of not being fully reimbursed by the Insurance Company

I have a question about “early return in case of death a relative” in the summary of the insurance cover. Who is considered a relative under this policy?

The general conditions of the YEP Insurance program provides reimbursement of the travel costs in case of death of the following insured’s relatives: parents, brother, sister, grandparents.

If the student has a toothache, will his/her visit to the dentist be reimbursed?

Yes. Costs for urgent dental treatment are reimbursed up to maximum 248€ per tooth and max 750€ per claim with a deductible fee of 25€. In the “Claim Forms” section of the website, you can download the claim forms and the procedures to follow for the reimbursement of your expenses.

A visit for a dental check-up and teeth cleaning have no urgent character and the insurer will not reimburse those costs. 

Someone stole the student's wallet. He/she has to go to the Embassy and apply for a new passport.

Call the CHUBB Assistance at the phone number mentioned on your Insurance certificate (+32 2 516 9815). Mention  the Product code 000 50 42 381 first and explain the situation, the assistant will help you to perform the administrative tasks.

Are pregnancy costs covered under the YEP Insurance program?

No

A student from Mexico who will be studying in the Netherlands next semester needs to obtain a resident permit, and must have private health insurance which covers costs of at least the equivalent in Euro of 100,000 USD for medical treatment.

The YEP Insurance program takes into account the requirements of the local authorities. “Hospitalisation after accident or sickness" and "Costs of treatment after accident or sickness" are reimbursed in cost price up to a limit of the equivalent in Euro of 100,000 USD.
